Responsibilities

Let's go into detail

Our Fleet is currently managed by a team 3 people at Easi.
They are responsible for assignments, vehicle offering evolution, KPI’s, and Easi's future strategy. With Easi's growth and already 500 cars, we want to strengthen the operational organisation in Flanders. We are therefore looking for a person who will handle the operational needs of our fleet in Flanders, based in Leuven, where our main Office in Flanders is based..

Your responsibilities will be:

  • Organisation of vehicle deliveries & check out of cars
  • Reassignments cars, quotes for repairs for reassignments, pool cars
  • Fuel cards creation/cancellation
  • Completion of insurance certificates for employees
  • Driving fines
  • Vehicle administration, practical follow-up of tyre changes
  • Accidents & breakdowns (from report to repair + insurance f-up)
  • Accompanying employees in their day to day needs/questions on cars
  • Approval invoices
  • Follow-up with partners (carglass, car dealers, tyre company, fuel card company, repair agents, insurance company, …)

 

Our Facilities Operations Team is service-oriented & focuses on first everlasting great impressions: They take care of different practical employee services and technical issues on buildings, or even day tot day operational concerns.  

As an extra Facilities Officer for our site @ Leuven, you will take of :

  • Supplier orders and interventions, catering administration, telephone subscriptions, small stocks of office material, parking tickets, …
  • Different employee services & deliveries
  • Support to customer or other events, 4-5 times a month, in our Offices in Flanders
  • Internal written communication related to the Facilities team
  • Different back office administrative tasks and coordination with the technical staff
  • Be the back up of the reception during his/her  absence at lunch time noon to welcome potential visitors

 

New ideas and improvements are more than welcome. Creativity, innovation and a sense of organization and support for your colleagues are also valued in our roles and in our company in general. You will have to feel really responsible for everything related to the fleet, administration and services in our Leuven office.

In order to help you accomplish your mission, you will benefit from regular follow-ups with your manager and from the daily support of your colleagues and your coach (from your own team) as well as from a mentor (from another team and another business line).

During your training period you will be expected to spend 2 days per month at our headquarters in Nivelles. Afterwards, this will evolve to 1 day per month.

Profile

Must-have:

  • Bachelor's degree
  • You have a maximum of 5 years of experience in a similar position
  • You have an eye for detail and notice even small issues to be improved on a daily basis. You are the go to person because of your caring qualities and ambition for excellence
  • Attitude is everything in this job. Small defects and the number of incidents are no issue.  A flexible problemsolving and troubleshooting mindset is what we look for. Our motto : keep calm and carry on … service with a smile
  • You are a friendly eager to help professional teamplayer with a caring attitude for our colleagues & material
