What does an Office & Facilities Officer do?

As an Office & Facilities Officer, you will be part of the team responsible for managing Easi's infrastructure and workplace services.

You will support the day-to-day operations of our offices, answer questions related to the company fleet, and contribute to various internal projects aimed at continuously improving our work environments. As the main point of contact for Easi Ghent, you will also provide support to our offices in Antwerp and Ronse. You will work closely with colleagues, internal teams, and external suppliers to ensure that our employees can work in a professional, pleasant, and well-organized environment.

This role combines operational and administrative follow-up with project work and data analysis. You will manage a variety of topics from A to Z, analyze relevant data, prepare reports, and support cost management activities. Through your insights, structured approach, and proactive mindset, you will contribute to the continuous improvement of our buildings, facilities, and internal processes.

What are your responsibilities as an Office & Facilities Officer ?

As an Office & Facilities Officer, you will take on a highly versatile role within Easi. You will combine administration, organization, coordination, analysis, and project work with a strong service-oriented mindset. One day, you might be coordinating a technical intervention, while the next you could be organizing an onboarding session, supporting an internal event, or analyzing costs and reports. Thanks to your efforts, our colleagues can rely on a pleasant, efficient, and professional working environment every day.

More specifically, your responsibilities will include:

  • Building and infrastructure management: coordinating maintenance, technical interventions, office layouts, and external suppliers.
  • Facilities management: overseeing access badges, telephony, charging solutions, and other workplace facilities.
  • Supporting internal services: assisting with internal events, catering, well-being initiatives, and stock management.
  • Supporting the Fleet team: managing vehicle check-ins and check-outs, fuel and charging cards, and assisting with insurance and damage claims.
  • Onboarding new colleagues: organizing welcome sessions, office tours, and preparing the necessary equipment.
  • Administrative follow-up: managing mail, contracts, insurance files, archives, and documentation.
  • Daily employee support: answering questions and handling facility-related requests.
  • Cost management and optimization: monitoring costs and proposing improvements.
  • Reporting and analysis: developing KPIs, dashboards, and management reports.
  • Managing the flow of customer IT equipment in collaboration with consultants.
  • Coordinating cleaning staff and ensuring the cleanliness and overall appearance of our offices.

 

Your home base will be our Ghent office. However, your impact goes beyond a single location. You are willing to travel to Easi Antwerp and Easi Ronse when needed for support activities, team meetings, projects, or events. Your flexibility helps ensure a consistent and high-quality workplace experience for colleagues across all Easi locations.

Who are we looking for as an Facilities Officer ?

Must-haves

  • You hold a Bachelor's degree in Office Management, Facility Management or a related field, or have 1 to 3 years of relevant experience in a similar role.
  • You are accurate, well-organized and reliable, with strong attention to detail and the ability to manage priorities in a dynamic environment.
  • You communicate fluently in Dutch (C2 level) and are comfortable working in English.
  • You are a proactive team player who enjoys collaborating with different departments and always looks for practical solutions.
  • You are service-oriented, helpful and hands-on. Supporting colleagues and creating a great workplace experience gives you energy.
  • You are independent and entrepreneurial, taking initiative to drive projects and improvements forward.
  • You have a good knowledge of Excel and feel comfortable working with administrative processes and reporting.

Nice-to-haves

  • Experience with or knowledge of KPIs, reporting and cost management.
  • An affinity for data analysis and working with figures.
  • A good knowledge of French.
