The challenges
Point Chaud's ambition is to grow exponentially. This ambition was hampered by their previous accounting software.
The need
A Financial ERP software that could automate and digitize a lot of accounting time-consuming tasks. A tool that can be conveniently integrated with the current ERP software.
The solution
Adfinity was completely modularly tuned, to Point Chaud's needs and structure. It automates more than 15,000 invoices and contributes to Point Chaud's growth.
We met with Michaël Liégeois, Point Chaud's CFO, and his colleague, Alicia Tchernouchevitch, Accounting Manager. Anne-Sophie Bricq, Account Manager at Easi, was also present to take part in this enriching discussion on the accounting and technological challenges facing the chain. We discussed topics such as efficiency and optimization, as well as the difficulties associated with the digital transition of an accounting department.
A tool designed to liberate accountants from repetitive tasks
“Technically, with the old software, we had to recruit a new accountant for every additional 10 stores. So aiming for 100 or 150 stores became unrealistic. We couldn't keep hiring a new accountant every time we added 10 stores. It was therefore essential to find a tool that could free the accountant from repetitive and time-consuming tasks, such as coding, so that he could concentrate more on analysis. That's where Adfinity came in as the ideal solution,” explains Michaël Liégeois.
Alicia Tchernouchevitch, the company's assistant and head of accounting, agrees: “After installing the software, we immediately noticed a significant improvement in terms of speed, data processing and reprocessing. The real boost is the automation, which has enabled us to encode 15,000 fewer invoices, and that's just the beginning. With the expansion of our central purchasing facility, we'll save even more time.”
She adds: “Since we started using Adfinity, the time we spend on time-consuming tasks has been considerably reduced. As a result, we can concentrate more on more accurate reporting and reinforced internal control. This solution also offers easy scalability, as it can be interfaced with several other ERP systems.”
The speed of the data flow and the optimization of analytical management of 40 stores
“When we changed our accounting software, the key criteria for us were the analytical management of our 40 sales outlets and the speed of data processing. It's vital that information is transmitted quickly, reliably and is clear for everyone. Teams in the field need to have access to this data in real time, so they can act directly in-store,” explains Michaël Liégeois. “Another of our motivations was also the transition from paper-based accounting to 100% digital accounting, from encoding to invoice approval. Adfinity was therefore the starting point for a completely new work organization.”
In making the switch, the people of Adfinity also paid attention to the people behind the software
Switching from software you've worked with for 25 years is no easy task. Switching to an ultra-digital tool, offering a multitude of functionalities, required some adjustment. It was therefore crucial to work closely with the team, as without their commitment, the transition would have been impossible. Looking back at the results and performance achieved, what initially seemed complex now appears to be an extremely rewarding and positive experience” explains Alicia Tchernouchevitch.
“Changing accounting software in a company is always a real challenge. It's a project of considerable scope. As Michael and Alicia pointed out during our discussions, the early stages are often bumpy, because you need to learn a whole new tool and its corresponding processes. The success of a project of this scale depends, in the vast majority of cases, on users adopting the new software.
At Easi, we understand this reality, and that's where we really stand out. We are a service company, and our strength lies in our teams. We really want to support our customers by understanding their needs. We don't just want to provide them with software; we want them to feel supported, autonomous and at ease in their day-to-day management. Today, I'm delighted to see that Point Chaud has been able to implement a digitalization and automation strategy with satisfied users. This proves that our service-oriented, people-focused approach works, and we're very proud of it,” concludes Anne-Sophie Bricq, Accounting Manager at Easi.
