Peppol integration
Adfinity has been fully compliant with Peppol, both for sending and receiving invoices. It recognizes invoice data down to the line item level and ensures seamless integration of invoice attachments. If no PDF is included in the Peppol file, Adfinity automatically generates a visual result to simplify the approval workflow. It also allows you to send a credit note request directly to the supplier with a clear justification, and provides smart suggestions for invoice entry and reconciliation with related purchase orders.
Line-level recognition of Peppol information
We leverage Peppol e-invoicing to automate postings in both general and analytical accounting. The goal is to automatically extract relevant information from the Peppol file to establish accurate mappings, thereby optimizing and even fully automating accounting entries. We also take advantage of Peppol’s capabilities to go a step further for clients using purchase orders, by ensuring a detailed reconciliation between the received invoices and the order lines. This strengthens the validation process of billed items, ensuring that no discrepancies go unnoticed by the various approvers.
Management of invoice responses (IN & OUT)
Thanks to Peppol, it is now possible to precisely track the progress of invoices sent to your clients. You can automatically see, via the network, the receipt status as well as the approval or rejection of the invoice - eliminating time-consuming exchanges and manual follow-ups. Moreover, in Adfinity, when a user rejects an invoice and provides a reason, a credit note request is automatically generated and sent, simplifying the management and tracking processes.
Management of secondary identifiers and dispatch to multiple environments
Registration on the Peppol network is based on the use of an identifier. Currently, the most commonly used identifiers are your company’s VAT number or company number. These two identifiers are widely recognized and supported by most software solutions. However, this setup presents a limitation for companies that share a single VAT/enterprise number across multiple environments: in such cases, it becomes impossible to automatically distribute files to the correct destination environment.
To address this issue, two solutions are currently available:
- Use a secondary Peppol identifier, based on a criterion specific to the target environment (e.g., a GLN number). Adfinity already supports all types of Peppol identifiers. However, few integrators currently offer support for these secondary identifiers. We recommend contacting your suppliers to verify their ability to manage them.
- Manually dispatch eFFF files to the correct environments.
In the meantime, we are actively working on a solution that will allow for automated file reception based on criteria within Peppol documents, without relying on external support for secondary identifiers from other software providers.
Self-billing management
As a reminder, self-billing is a process whereby the VAT-registered customer is authorized to issue an invoice on behalf of their supplier or service provider. In March, the government published the official format to be used for managing self-billed invoices and credit notes: Peppol Self-Billing 3.0.
Our Access Point partner, Digiteal, has supported this format since the end of June. These invoices will become legally mandatory as of January 2026. We are actively analyzing the integration of these new document types into Adfinity.
At this stage, several aspects still need to be clarified, including:
- the registration of participants authorized to exchange self-billing documents,
- the integration of these documents into our existing workflows,
- the impact on accounting numbering.
Integrating this new feature represents a significant change within Adfinity. Configuration adjustments will also be required. We will keep you informed of the availability of these updates in the coming months.

Electronic approval flows
Integrate any organizational workflow, like purchase flows, directly into the application and automatically link invoices to them. Team leaders can digitally approve orders, linked invoices, expense notes, and add comments. During approval, analytical axes can be adjusted to allocate costs across departments or projects. Workflows can be triggered manually or automatically based on criteria like amount, department, analytical codes, or general ledger accounts. In case of a rejection, an email can be automatically sent to request a credit note.
Smart Document Management with OCR
Adfinity uses advanced OCR technology to automatically recognize and process important information from invoices, such as supplier, amount, date and references. This technology not only helps to quickly digitize and link documents to the correct accounting records, but also supports the bookkeeper by entering this data directly during booking. This reduces manual work, reduces the risk of errors and speeds up the entire administrative process.
Integrated E-invoicing
Adfinity supports all major e-invoicing formats, including PDF, XML, Basware, Babelway and PEPPOL. Whether invoices are sent or received digitally or on paper, the software fully streamlines processing and ensures fast and error-free invoicing. Switching to e-invoicing will be mandatory in Belgium from 2026, are you ready for this?
Automatic payment processing
The DEMAT dashboard analyzes and reviews your payment requests (such as invoices and expense notes) and provides the user with an overview of how well the billing process is automated. By reconciling data from invoices, purchase orders, allocated budgets, contracts, etc., the dashboard scores payment requests, which can be paid automatically if the scores are high. Also, thanks to this in-depth reconciliation, our system works with payment batches at different levels.
Upgrade with Quote to Cash management
Integrate Adfinity to your specific invoicing software to create your quotes, orders, and/or customer invoices directly in Adfinity. Different customer pricing rules are possible. Editing and sending commercial documents is fully automated and complies with the Peppol standard. The integration is complete: stocks, cash register and accounting are 100% integrated.
Treasury & Cash Flow management
Centralization & visibility: less financial risk
Adfinity automates bank transaction reconciliation and supports SEPA payments, as well as integration with bank portals. This helps to efficiently manage bank relationships and transactions. (Check out our integration with Isabel Connect)
Cash flow management: The system provides tools for managing incoming and outgoing cash flows, including detailed liquidity forecasts. This enables companies to better monitor and plan their financial health. Helpful dashboards that give you more depth with a few clicks of a button are your part.

Payment reminders are easily managed by language and payment category. Payment delays can be analyzed based on various criteria, for example, the due date balance provides predictive insight.
Contract management
By digitizing and centralizing the purchase process, you reduce the risk of suppliers not meeting contractual obligations. Adfinity helps you manage contracts efficiently and automatically avoids missing contract renewals, such as maintenance contracts or public tenders. In addition, Adfinity provides a central repository for prices and contracts so you can easily manage and retrieve them. (The contract management function also applies to your customers, the software generates periodic invoices that are directly linked to your professional activities).
From warehouse to asset management in one ERP
Stock Management
Our Financial ERP Software includes a stock management system that can handle many complex situations (lot management, quarantine, traceability, etc.). Moreover, you can use our mobile app, which communicates in real-time with our software.
